The LMS That Let Anyone Build Training

Tribal Habits set out to solve a problem that had held back online learning for decades. Traditional learning management systems (LMS), built in the pre-cloud era, required expensive authoring tools and trained L&D professionals to produce content. That locked out any organisation too small to hire a dedicated learning team or too lean to buy off-the-shelf courses that arrived unbranded and uneditable.

David King, CEO and Founder, built Tribal Habits as the alternative: a platform where any subject matter expert can create and deliver online training without specialist skills. Over eight years, the product found its market across Australian and New Zealand government agencies, not-for-profits, and mid-market employers, proving that accessible tooling could bring digital learning to organisations that had previously gone without. The product was strong. The next step was making it an easier decision for larger organisations.

Dozens of HRIS Platforms and The Integration Opportunity

An LMS cannot function without users. However, uploading and maintaining user data is a huge effort for platform administrators. As Tribal Habits gained traction with larger buyers, David spotted a pattern. When the effort to add or maintain user data is too high, platform usage stops.

Enterprise customers ultimately hold employee data in an HRIS, payroll system, or identity platform like Microsoft Entra. Connecting that data to Tribal Habits, so that users, roles, and locations synced automatically, would remove the single biggest administrative burden for platform administrators and make training enrolments and reporting reliably accurate from day one.

The opportunity was clear, but the Australian and New Zealand HR technology market is deeply fragmented. Dozens of HRIS and payroll providers service the region. Every customer runs training differently, with unique data fields, custom filtering rules (e.g. some excluded board members), and distinct workflow requirements. Tribal Habits needed a way to build and maintain integrations across that entire landscape, with a lean team. Zapier offered a temporary bridge, but it lacked the robustness, the enterprise connectors, and the Australian data residency that larger buyers required.

From Proof of Concept to Production in Weeks

During evaluation, Tribal Habits asked the Workato team to build proof-of-concept integrations with two Australian HRIS platforms and demonstrate connectivity to Microsoft Entra. The POCs proved that Workato could handle the complexity Tribal Habits needed, connecting to local platforms that other tools could not reach, while keeping data within Australian data centres.

What sold David was the combination of breadth and depth. Workato provided connectors to enterprise-grade platforms that Zapier often lacked, the ability to connect to custom public APIs where no connector existed, and robust error handling and logging. Critically, Workato allows Tribal Habits to “import and export recipes to use as templates for common integrations and then customise it per customer, which is a huge time saving,” shares David.

Tribal Habits manages all integrations on behalf of its customers. The only time a customer touches Workato directly is for a brief OAuth2 authentication window; they grant temporary access for five to ten minutes, then remove it. This model keeps the experience seamless for end users while giving Tribal Habits full operational control.

Deeper Stickiness, Stronger Partnerships, New Revenue

Adding an integration layer has changed how Tribal Habits competes and retains. Enterprise buyers now see a platform mature enough to sit within their technology stack, not alongside it. When Tribal Habits connects to a customer’s HR or payroll system with a customised workflow, the platform becomes part of their operational infrastructure.

That stickiness has opened up use cases they had not originally planned for. For some HRIS platforms, Tribal Habits runs a reverse sync, pushing training completion data back into the HR system to support onboarding workflows. For one payroll platform, the team built a reverse sync that creates timesheet records for completed training, helping hospitality workers get paid for training hours, a significant win for a large employer. These bidirectional workflows elegantly orchestrate critical data between multiple systems, without burdening platform administrators. Internally, Workato also powers syncs between Tribal Habits’ platform and tools like Intercom and Slack.

The setup experience reinforces that perception. Customers have described the process as being “smooth as silk” and “the easiest integration of [their] life”, with more than one expressing surprise at being fully connected to their HRIS within an hour or two.

The partnership dimension has proven equally valuable. By offering to build integrations with partner HRIS platforms, Tribal Habits positions itself as a best-of-breed collaborator. All platforms in the stack benefit, and Tribal Habits becomes an easier partner to work with.

Here’s what the integration layer delivers:

  • Scalable integration capability built and managed by a single person
  • Enterprise connectivity across Australia’s fragmented HRIS, payroll, and identity platform market
  • Australian data residency maintained through Workato’s local data centres
  • Stronger customer retention through integrations that embed Tribal Habits into operational workflows
  • Reverse sync use cases including training completions to HRIS and timesheet creation for payroll

From LMS to Learning Ecosystem

With the integration foundation in place, Tribal Habits is positioned to expand its connected footprint. As Australian organisations continue consolidating their HR technology stacks and demanding interoperability between best-of-breed tools, the ability to spin up customised integrations quickly, and maintain them with a lean team, becomes a competitive moat.

For B2B SaaS founders weighing the build-versus-embed decision for integrations, David’s experience offers a clear signal: the right integration platform does not just solve a technical problem; it transforms how your product is perceived, sold, and retained.
