For UK accounts payable managers, the right KPIs show whether invoices are moving accurately, suppliers are being paid on time and rework is under control. If the measures aren't defined consistently, a faster-looking process can still hide errors or a growing queue of exceptions.
This guide explains 10 accounts payable KPIs, how to calculate them and what each can tell you. It also shows how to choose measures, set consistent definitions, interpret benchmarks and turn dashboard results into action.

Summary of KPIs to track and measure
1. Invoice processing cycle time
What it measures
The elapsed time between a defined start event and end event, such as invoice receipt and approval, posting or payment scheduling.
How to calculate it
Total processing days for completed invoices ÷ Number of completed invoices
How to track it
Specify calendar or business days and how you treat weekends, supplier waiting time, approval holds and missing information. Review the median as well as the average, since a few very old invoices can pull the average up. Segment results by entity, supplier, channel, approver and exception status.
2. Cost per invoice processed
What it measures
The cost of running AP relative to the number of invoices processed.
How to calculate it
AP operating cost for the period ÷ Invoices processed in the period
According to APQC's cost-per-invoice measure, the cost calculation can include outsourced, overhead, personnel, systems and other costs. Decide which costs belong in the calculation and apply that scope consistently.
How to track it
Compare like-for-like periods and read cost per invoice alongside cycle time, first-time-right rate and exceptions. A lower figure can reflect delayed approvals, under-resourcing or weakened controls rather than a genuine improvement.
3. First-time-right or error-free rate
What it measures
The percentage of invoices completed without correction, rejection, re-entry or a subsequent manual change.
How to calculate it
Invoices completed without a qualifying error ÷ Total invoices completed × 100
How to track it
Define “error” before reporting the result. It might include incorrect supplier data, duplicate invoices, failed purchase-order matching, tax errors, wrong coding, rejected payments or post-approval changes. Pair this KPI with exception and duplicate rates so a high score doesn't conceal skipped checks.
4. Touchless or automation rate
What it measures
The percentage of invoices that complete a defined AP workflow without manual intervention.
How to calculate it
Eligible invoices completed without manual intervention ÷ Eligible invoices processed × 100
How to track it
State what “touchless” means. Does a human review the invoice before automation starts? Does a manual exception remove it from the denominator? Do supplier-bank changes and payment approvals count as manual steps?
According to Microsoft's vendor invoice automation workspace documentation, its analytics distinguish touchless invoices and automated processing from processing days and automation failure reasons. Review those failure reasons with first-time-right and exception rates; an automation rate alone can conceal poor straight-through processing.
5. On-time payment rate
What it measures
The percentage of eligible invoices paid by the contractual or agreed due date.
How to calculate it
Eligible invoices paid on or before the due date ÷ Eligible invoices due in the period × 100
How to track it
Exclude blocked or disputed invoices only if you define and report the exclusion. Show both the overall rate and the rate for approved, payable invoices where that helps explain performance. Review it alongside early-payment discount capture, late-payment costs, supplier queries and cash availability.
6. Invoice exception rate
What it measures
The proportion of invoices that fail a validation, matching, approval, data or payment rule and need intervention.
How to calculate it
Invoices with one or more qualifying exceptions ÷ Total invoices received × 100
How to track it
Break exceptions into causes, such as a missing purchase order, price or quantity variance, tax issue, duplicate, supplier-data problem, approval delay, capture failure or payment rejection. According to SAP's KPI and Benchmarking Widgets guidance, its invoice-exception measure includes invoices rejected, cancelled or failed, plus credit and debit memos, divided by invoices received in the period. Your business may use a narrower definition; document it and keep it stable.
7. Days payable outstanding (DPO)
What it measures
The average number of days the business takes to pay suppliers at an aggregate level.
How to calculate it
Average accounts payable ÷ Cost of sales or purchases × Number of days in the period
Formula choices vary. According to SAP's DPO analytical app documentation, its calculation uses rolling monthly averages for payables and purchases over a selected period.
How to track it
DPO can help finance and working-capital teams understand payment timing, but it isn't an AP productivity score by itself. A rising DPO could reflect negotiated terms, cash management, an invoice backlog or late payment. Interpret it alongside on-time payment, overdue balances and supplier-risk indicators.
8. Duplicate invoice rate
What it measures
The proportion of received or posted invoices identified as confirmed or suspected duplicates.
How to calculate it
Duplicate or suspected duplicate invoices ÷ Total invoices received × 100
How to track it
Define the matching fields, such as supplier, invoice number, amount, date, purchase order, currency and entity. Track confirmed duplicates separately from false positives. A low reported rate can mean detection rules need review, rather than that duplicates never occur.
9. Approval ageing and invoices pending
What it measures
How many invoices are waiting for approval and how long they've been waiting.
How to calculate it
Count invoices awaiting approval and group them by elapsed business days since submission, using buckets that fit your approval policy, such as 0–2, 3–5, 6–10 and 10+ days.
How to track it
Segment by approver, entity, cost centre, supplier and invoice value to find where work is accumulating. According to Oracle's AP Reviewer Dashboard documentation, its dashboard brings together upcoming and past-due invoice groups, automatch rate, supplier performance and employee workload to help reviewers prioritise work. Use the results to guide actions such as escalation, delegation or correcting an approval route.
10. Supplier query resolution time
What it measures
The time from a supplier query being logged to a complete response or resolution.
How to calculate it
Total elapsed time to resolve supplier queries ÷ Number of queries resolved
How to track it
Track first response and final resolution separately. Categorise queries by payment status, remittance, missing information, invoice rejection, bank-detail changes and disputes. A fast initial response with no resolution isn't a good service outcome.
How can Wise Business support AP teams after invoice approval?
On-time payment rate is one of the KPIs AP teams can use to track whether eligible invoices are paid by their due dates. Wise Business can support the payment step behind that measure: teams can upload or email an approved invoice, check the payment details and send the payment.
For example, a team paying several suppliers can prepare those payments together using batch payments. A colleague can review payments before they’re sent using payment approvals. This can reduce repeated payment setup while adding a review step.

FAQs
What are the key KPIs for accounts payable?
A useful AP KPI set covers speed, cost, quality, exceptions, payment timing, cash flow and supplier service. The ten measures in this guide cover those areas; a practical starting five are invoice processing cycle time, cost per invoice, first-time-right rate, exception rate and on-time payment rate.
What are the 5 key performance indicators?
There isn't one universal set of five KPIs for every organisation. For accounts payable, a useful five are cycle time, cost per invoice, first-time-right rate, on-time payment rate and exception rate; other teams should choose indicators that reflect their own responsibilities and goals.
What are some good goals for accounts payable?
Goals can include reducing avoidable rework, paying approved invoices on time, resolving exceptions sooner and improving supplier-query handling. Pair speed goals with quality and control measures so targets don't encourage skipped checks.
What are the key skills for accounts payable?
Accurate data handling, knowledge of invoice and approval workflows, careful exception review, clear supplier communication and confidence with finance systems all support AP performance. The right mix depends on the measures and controls the team owns.
