A leading automotive services provider operates a diverse network of businesses supported by finance and procurement functions that rely on Oracle Fusion. Timely access to invoice and purchase requisition information is essential to efficient day-to-day operations.

The client partnered with HCLTech to introduce a conversational interface for routine queries, making Oracle information easier to retrieve while preserving existing security controls. The solution enabled faster information access and lower licensing costs through a lightweight Oracle role, with an integration framework designed for future expansion.

The Challenge

Routine information access created friction for finance and procurement users

Finance and procurement users needed quicker access to invoice and purchase requisition information within their existing workflows. Navigating Oracle for routine queries added effort, while providing full Oracle access to users who only needed information created additional licensing requirements. A simpler way to retrieve business data was needed, with user-level permissions and a consistent search experience.

Key challenges included:

  • Limited access to Oracle information within users’ existing workflows
  • Additional licensing requirements for users who needed routine information but not full Oracle access
  • Difficulty guiding users to the relevant record when multiple results matched a search
  • Purchase Requisition API limitations that needed to be addressed to align results with the Oracle user interface and user permissions

The Objective

Enable simpler information access while retaining existing Oracle controls

The goal was to make routine finance and procurement information easier to access, optimize licensing requirements and establish a flexible foundation for additional Oracle use cases.

Key objectives included:

  • Simplify invoice and purchase requisition queries through an intuitive conversational interface
  • Preserve Oracle security controls and user-level data access
  • Support users who needed information access without requiring full Oracle licenses for every user
  • Provide guided search and consistent results through an integration framework that could support additional Oracle modules

The Solution

Connecting conversational access with secure Oracle Fusion integration

HCLTech developed a conversational solution for the client, integrating Oracle Fusion through Oracle Integration Cloud (OIC). The interface enabled users to retrieve invoice and purchase requisition information more easily, bringing routine queries into a simpler conversational experience.

The solution included the following capabilities:

  • JSON Web Token (JWT) user-assertion authentication and a lightweight Oracle role to enable secure access for users without full Oracle licenses while retaining user-level data permissions
  • A tailored purchase requisition retrieval process to address API limitations and align results with the Oracle user interface
  • Guided invoice results and filtering to help users identify relevant records when multiple results matched a query
  • An OIC integration framework designed to accommodate additional Oracle modules without requiring new OIC endpoints

The Impact

Faster information access and lower licensing costs

The conversational solution simplified routine finance and procurement queries while preserving existing Oracle controls. Reported benefits included:

  • Lower licensing costs through a lightweight Oracle role for users who needed information access without full Oracle access
  • Faster retrieval of invoice and purchase requisition information through conversational queries
  • Consistent purchase requisition results aligned with the Oracle user interface and user permissions
  • Easier identification of relevant invoice records through guided results and filtering
  • A foundation for future expansion to additional Oracle modules without requiring new OIC endpoints
